Sr. Administrative Assistant - Patient Transportation

The Sr. Administrative Assistant performs is to perform superior complex administrative duties, including handling sensitive employee information. This involves problem solving, reasoning, independent decision-making, analyzing, planning, and communicating orally and in writing, impacting departmental efficiency and productivity. Demonstrates a high level of interpersonal and quantitative skills to organize and maintain data, prioritize requirements of multiple faculty and prepare work products within general guidelines.
The Sr. Administrative Assistant spends the majority of time on one or more of the following duties:
- Provide high-level administrative assistance to department leadership, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Serve as a primary point of contact for internal and external stakeholders, ensuring effective communication and timely responses.
- Liaise between leadership, team members, and other departments to facilitate collaboration and resolve issues.
- Generate regular reports to assist in operational decision-making and ensure compliance with organizational standards.
- Oversee inventory and procurement of office supplies and protective equipment, ensuring adequate resources are available for departmental needs.
- Support the coordination of training sessions, employee onboarding, and other departmental events.
- Prepare financial summaries and reports for leadership review.
- Coordinate committee and task force meetings, capturing minutes and following up on action items.
- Provide mentorship and guidance to junior administrative staff to promote professional growth and teamwork.
- Act as a resource for staff and leadership by troubleshooting administrative challenges and ensuring efficient operations.
Other duties as assigned.
QUALIFICATIONS
Education
Required: High school diploma or equivalent.
Preferred: Bachelor’s Degree.
Experience
Required: Five years of administrative/secretarial experience. With preferred Associate's degree, three years of required experience and with preferred Bachelor's degree, one year of required experience. Must pass pre-employment skills test as required and administered by Human Resources.
