Program Manager - Inpatient Experience
The Program Manager partners with Inpatient Operations leadership team to administratively and strategically support the Inpatient and Operations Medical Director (IMD/OMD) programs. Responsibilities include managing recurring meetings, tracking action items, supporting goal setting and performance evaluations, and reporting progress to leadership.
The role also oversees data collection, quality improvement initiatives, and project tracking, while coordinating on-call schedules, emergency response, retreats, publications, and budgeting. This position ensures IMD/OMD efforts align with institutional goals through effective execution, communication, and performance evaluation.

JOB SPECIFIC COMPETENCIES
Program/Project Management Oversight
Supports the strategic and operational priorities of IMD/OMD program through the effective design, implementation, and evaluation of initiatives that enhance efficiency, quality, and sustainability of inpatient operations. Key responsibilities include:
• Meeting Coordination: Organizes recurring IMD/OMD meetings and ensures timely follow-up on action items and decisions.
• Program Oversight: Manages administrative, operational, and educational initiatives for Faculty, APPs, and Fellows (e.g., Rice University Operational Lab), ensuring long-term impact.
• Strategic & Operational Planning: Contributes to annual goal setting, training needs identification, and maintenance of tools like the Division Project Tracker.
• Goal & Performance Management: Oversees development, tracking, and reporting of IMD/OMD goals, team objectives, and performance evaluations.
• Stakeholder Engagement: Facilitates collaboration and decision-making across disciplines to support IMD/OMD-driven initiatives.
• Metrics Tracking: Monitors and reports key performance indicators aligned with program outcomes and quality initiatives.
• Event & Web Management: Coordinates logistics for conferences, retreats, and other events; maintains relevant program web content.
• Project Facilitation: Leads or supports cross-functional teams using established project management tools and practices.
Communication and Reporting Mediums
Ensures clear, consistent communication and effective information sharing across teams and leadership to support IMD/OMD priorities. Responsibilities include:
• Cross-Functional Collaboration: Builds strong working relationships with physicians, nurses, administrators, and other stakeholders to align efforts.
• Communication Development: Prepares or supports the creation of reports, presentations, briefings, and institutional responses for strategic initiatives.
• Routine & Ad Hoc Reporting: Produces monthly and annual reports to track progress and outcomes aligned with program goals.
• Charter Management: Develops and maintains comprehensive program/project charters to support strategic direction.
• Meeting Documentation: Prepares agendas, captures meeting minutes, tracks attendance, and maintains documentation for divisional and departmental meetings.
• Data & Analysis Support: Collaborates on the collection, design, and analysis of operational data to inform decision-making and continuous improvement.
• Program Documentation: Develops materials to support implementation, evaluation, and communication of program initiatives.
• Subject Matter Expertise: Serves as a key resource on IMD/OMD program operations, ensuring clarity and consistency in messaging and reporting.
People Management Works with project teams to ensure timelines and outcomes are met. Manages student interns as assigned.

EDUCATION
- Required: Bachelor's Degree
- Preferred: Master's Degree
WORK EXPERIENCE
- Required: 5 years Related experience to include three years program management. or
- Required: 3 years Experience required with Master's degree.
