The Department Administrator serves as the administrator and chief business officer for the Department of Symptom Research. Administers all business-related activities including financial management, personnel management, research operations management, research laboratory operations, physical asset and space management, strategic planning and development and other operational activities.

 

The ideal candidate will bring extensive experience in an academic medicine and healthcare environment, supported by a strong research background and proven success in people management. They should possess a deep understanding of the priorities of a research department and demonstrate the ability to advance those priorities strategically and operationally.

KEY FUNCTIONS

 

Human Resources Management

·       Manages the human resources function and related activities of the department including, but not limited to, compensation administration, position description development, new staff orientation and training, employee relations management and performance management.

·       Oversees visa processing for the department.

·       Serves as a liaison to all institutional departments with regard to faculty and classified staff related issues including recruitment, compensation, tenure, promotions, employee relations, retention, etc.

·       Develops staffing models and productivity measures to ensure the effective use of human resources.

·       Ensures the existence of on-going training and development programs for all classified staff in order to develop new competencies and to retain valued staff.

·       Develops and implements human resource recognition and retention strategies.

·       Supervises all departmental administrative, financial and research support staff.

·       Ensures departmental compliance with all institutional training and other requirements (e.g., EEE, ELPT, performance evaluation compliance, faculty appraisals, etc.).

 

Financial Management

·       Primary signer and fund receiver for departmental accounts, including authorizations, expense reimbursements and related business.

·       Prepares, justifies, administers and monitors budgets for the department and its related programmatic areas in accordance with institutional guidelines and strategic plans.

·       Ensures timely and accurate expense and income tracking for all E&G, RFM, PRS, grant and philanthropic funding sources.

·       Demonstrates a thorough working knowledge of institutional and state guidelines including those which address purchasing, check requests, petty cash, travel, etc.

·       Demonstrates working knowledge of all institutional and departmental financial systems to monitor financial activity.

·       Consistently monitors monthly balances and reconciles accounts.

·       Manages the departmental capital equipment plans and budgets.

·       Ensures compliance with all local, state, and federal rules and regulations.

·       Implements strong internal controls to safeguard institutional resources.

·       Develops and ensures accuracy of grant proposals and contractual agreements.

 

Research Operations Management

·       Assists Chair with long-range planning for research program growth and changes in research priorities.

·       Advises faculty on the use of resources and assists in determining needs and priorities.

·       Meets routinely with investigators to review the status of grants, contracts, and other sponsored agreements.

·       Consistently monitors monthly balances, resolves issues and reconciles accounts timely.

 

Physical Asset, Space Management, and Business Continuity

·       Manages the department’s physical resources including space management and inventory control.   

·       Plans physical resources needs and manages renovation and relocation projects as required.

·       Submits FARs for the department.

·       Assists Chair with the assignment or reallocation of laboratory space and handles lab renovation projects for faculty.

·       Serves as property officer for the department ensuring compliance with all rules and regulations.

·       Develops and implements mechanisms to ensure adequate controls are in place to safeguard institutional resources.

 

Other duties as assigned.

 

EDUCATION

Required: Bachelor's degree.

Preferred: Master's degree.

 

 

 

WORK EXPERIENCE

Required: Seven years progressive and responsible healthcare / research or business management experience to include three years in a management role OR five years progressive and responsible healthcare, research or business management experience to include three years in a management role, with Master's degree. Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.

Preferred: The ideal candidate will bring extensive experience in an academic medicine and healthcare environment, supported by a strong research background and proven success in people management. They should possess a deep understanding of the priorities of a research department and demonstrate the ability to advance those priorities strategically and operationally. Expertise in financial management, including research finance and resource allocation is essential, as is experience in space planning. The candidate should have a strong record of partnering effectively with leadership, managing shared resources, and navigating complex, matrixed relationships with faculty and administrative stakeholders. The successful candidate will also demonstrate enthusiasm and a genuine passion for fostering growth and innovation within a dynamic academic research environment.
