Senior Administrative Assistant - Office of Patient Experience

This position is essential to sustain the operational foundation of Patient Experience department. The role provides essential operational, financial, compliance, and administrative support for the Office of Patient Experience and is critical to the support of five major programs, including the Patient and Family Advisor (PFA) Program, Service Excellence Program, Communication Skills Training Programs (Comfort, SICG, and REDE), Provider Star Rating Transparency Program, and Press Ganey Patient Satisfaction Reporting and Recognition Program.
The position manages compliance of all required institutional annual training for all department employees including 90 CW (Patient and Family Advisors). Supports departmental financial reporting, contract funding accounts, asset management, procurement, travel, required off-site authorization for equipment, onboarding processes, and scheduling and administrative support to departmental leadership [director and associate directors].
Minimum Salary: $45,500
Midpoint Salary: $57,000
Maximum Salry: $68,500

JOB SPECIFIC COMPETENCIES
Administrative Support
- Supports departmental online meetings and classes, including technical support, participant engagement, and attendance tracking.
- Maintains complex, confidential general and HR files for Patient and Family Advisor Program (PFAP) members.
- Coordinates administrative activities associated with the department.
- Assists team members with meeting coordination and stakeholder communications.
- Composes formal and informal correspondence.
- Creates and formats presentations.
- Purchases, maintains, and distributes parking vouchers and validations.
- Picks up and distributes departmental mail.
Office Operations and Functionality
- Compiles financial reports and ensures timely submission of required reports and documents, including reconciliations and audits.
- Manages staff travel and expenses in the Concur system, including reservations and travel reimbursement processing.
- Assists with internship program onboarding.
- Maintains inventory of departmental assets and office supplies and processes purchase requisitions and vendor payments using the Resource One system.
- Serves as administrative support for Service Excellence courses in real time, including troubleshooting participant IT issues, tracking participant activity, and supporting facilitators during class sessions.
Departmental Projects
- Determines priorities and monitors the status of special projects as assigned.
- Coordinates meetings, conferences, recognition events, rounding activities, classes, and special programs, including room reservations, attendee coordination, catering, parking, room/building access, equipment procurement, agenda and presentation preparation, packet preparation, and meeting minutes.
- Uses Service Standards to communicate and interact with stakeholders.

EDUCATION
- Required: High School Diploma or Equivalent
- Preferred: Associate's Degree or
- Preferred: Bachelor's Degree
WORK EXPERIENCE
- Required: 5 years Administrative/secretarial experience. or
- Required: 3 years Required experience with Associate's degree. or
- Required: 1 year Required experience with Bachelor's degree.
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
