Program Coordinator - Neurosurgery - Spine
The goal of the Neurosurgery department is to eliminate all tumors of the nervous system, including those of the brain, spine, spinal cord, skull base, and peripheral and cranial nerves, through compassionate and expert neurosurgical care, pioneering research, education, and outreach. The Neurosurgery department at MD Anderson is considered one of the best neurosurgical programs in the country. This role requires candidates to work onsite daily for the first three months to support training, onboarding, and seamless integration with the team. After the initial period, the position transitions to a hybrid schedule with two onsite days per week, though additional onsite presence may be required based on business needs. Candidates should also be prepared for occasional weekend work depending on project timelines or workload.
The ideal candidate will have experience supporting staff, handling ordering and purchasing, maintaining office inventory, assisting with event planning, managing calendars, and processing reimbursements.

KEY FUNCTIONS
Support
- Develops and maintains a database of physicians who have referred to the Spine program in order to help improve our outreach and develop new referral patterns.
- Works with the clinical staff and EPIC specialists to pull the relevant referring physician data and patient demographics.
- Provides support to spine faculty in editing abstracts, manuscripts, grant proposals, book chapters, and progress reports.
- Provides administrative support in financial management and budget preparation of grants and contracts.
- Maintains and compiles reports when necessary.
- Actively participates in the preparation of research proposals, grant writing, budget preparation, editing, and submission.
- Serves as a resource to investigators and their laboratory staff by answering questions regarding grant-related procedures and forms completion, according to sponsor guidelines.
Reporting
- Interfaces with appropriate administrative staff to produce and distribute reports tracking clinical practice within the Spine program.
- These reports cover key clinical outcomes (such as extent of resection, complication rates, resource utilization) in addition to NP/Consults and billings.
- These reports would be distributed for regular review within the program.
- Works with the Department of Neurosurgery database team, EPIC specialists and pulls data from our monthly Morbidity and Mortality Conferences.
Clinical Education
- Works with Physician Relations to develop a series of quarterly educational programs for CME purposes for referring physicians that would occur on a regular basis.
- Manages recurring educational CME programs aimed at specialists nationally and internationally. This includes recurring multidisciplinary webinars and interfaces with groups such as marketing, physician relations, the MD Anderson Network and audiovisual.
- Coordinates curriculum development with faculty across different specialties. Interfaces with industry sponsors to secure financial and equipment support.
- Assists in tracking coordinated research projects across different programs and coordinates recurring biweekly meetings.
- Coordinates recruiting efforts related to Spine research fellowship, including advertising and soliciting applications.

EDUCATION
- Required: Bachelor's Degree Business Administration or related field.
- Preferred: Master's Degree
WORK EXPERIENCE
- Required: Three years Project/program coordination experience.
- Required: One year Required experience with Master's degree
- May substitute required education degree with additional years of equivalent experience on a one to one basis.
