Patient Services Coordinator ( Leukemia / CTRC )

SUMMARY
Schedules patient visits, physician appointments, diagnostic tests, procedures, and treatments. Communicates pertinent information regarding appointments, scheduling, prepayment and financial counseling to patients, families, physicians, team members and other patient care areas. Interprets and coordinates physician orders. Prepares and maintains appointment templates and/or patient records.
The ideal candidate will have relevant healthcare experience. They should be proficient in handling calls on multi-line phone systems, ensuring efficient call management, appointment scheduling, and patient inquiries. Prior front desk experience is essential, with the ability to greet patients, manage administrative tasks, and maintain a welcoming, organized environment. Additionally, the candidate will be familiar with an office setting.
The working hours for this position will vary depending on the Center assigned and its business needs. Flexibility in scheduling is essential to meet the demands of our dynamic environment.

JOB SPECIFIC COMPETENCIES
Communication with patients/family and multidisciplinary teams
Patient/Family Interaction:
- Greets, orients and answers questions.
- Advises patients and family members of available services.
- Schedules and coordinates patient appointments including provider visits, diagnostic tests, procedures, and treatments based on provider orders.
- Assists in maintaining a safe environment for patients, co-workers, and visitors.
Multidisciplinary Teams:
- Utilizes interpersonal and communication skills to ensure that customer requests and needs are met.
- Acknowledges and clarifies customer inquiries, requests, or complaints to ensure that needs are identified, documented, and addressed.
- Communicates pertinent information regarding appointments, scheduling, and necessary preparations to patients, families, physicians, team members and other patient care areas whether in person, by mail, by phone, by online applications or secure messaging.
Record Maintenance
- Prepares and maintains appointment templates and/or patient records electronically and/or manually as directed.
- Updates relevant patient information to maintain an accurate patient record.
- Responsible for the security and confidentiality of patient information at all times.
- Handles and processes a complex and varied series of documents and situations.
- Focuses on deadlines, specifically the time and/or date in which a particular task or assignment is due for completion.
Financial Activities in accordance with established departmental processes
- Reviews and collects patient payments, including co-payments, deductibles, and other pre- payments required for services rendered.
- Updates payment information in One Connect when directed by the Financial Clearance Center or Patient Access Services.
- Reconciles and maintains the integrity of the One Connect cash drawer daily and immediately reports discrepancies to leadership.
- Follows cash handling guidelines and procedures including the handling of the daily change fund as outlined by Treasury Services in the cash manual.
- Performs validation of the Medicare Secondary Payer Questionnaire (MSPQ) required for accurate and timely billing.
- Ensures coordination of benefits and assignment of Hospital Account Record (HAR) as needed.
Other duties as assigned.
Required: High school diploma or equivalent.
EXPERIENCE
Required: Three years of relevant work experience. May substitute additional education for required experience on a one to one basis.
Must pass pre-employment skills test as required and administered by Human Resources.
