The mission of the University of Texas M. D. The primary purpose of the HR Shared Services Rep position is to perform highly responsible complex secretarial, administrative, and financial work to support the functions of the HR Service Center and HR division. The primary functions of this role include but are not limited to supporting the HR front desk, badge room, and call center, in addition to acting as primary lead for facilitating the I-9 process for the MD Anderson workforce. This position provides shared-services support within the HR division as needed from executive leadership.
JOB FUNCTIONS
Budget - Partners with various staff members in the maintenance of the departmental budget. Tracks encumbrances and expenditures, verifies monthly Status of Accounts, identifies and resolves discrepancies, prepares bi-monthly budget status reports for director's review and management staff review. Provides follow up on outstanding items, verifies accuracy of charges and account numbers, resolves errors, and reports problems to director. Based upon expenditures of the current fiscal year, assists Director in developing budget projections and presentations for the next fiscal year. Works special budget-related projects in shared service capacity as needed.
I-9 Administration - Acts as primary liaison for I-9 processing for the HR division. Including scheduling I-9 appointments, verifying documents, and partnering with other COEs to ensure compliance with I-9 processing.
General Administrative Support Duties - Coordinates the Director's calendar, schedules meetings, negotiates times, makes scheduling decisions based on priorities, and takes/prepares minutes as needed. Prepares travel requests for the division including travel expense reimbursements, membership dues, subscriptions and other miscellaneous expenses. Provides Concur travel and hotel bookings for HRSC employees and division as needed. Originates purchase requisitions and tracks purchase orders. Recommends upgrades or replacements of existing office equipment and/or features (i.e., computers, copiers, fax, and telephones). Maintains ProCard purchases, supply orders/inventory. Peforms timekeeping duties as needed.
HR Shared Services - Performs frontline operational tasks including call center, front desk and badge room support, CWR vetting, OPF scanning/indexing, and other employee personnel transactions. Cross-trains peers and other shared services team members on various functions as needed. Processes bi-monthly loan reports for hard-to-fill/interest-free location loans for payment. Partner with other HR COEs in an administrative support capacity to assist where needed and assume responsibilities in alignment with the division's HR Shared Services model.
Address employee and retirees’ questions on UT System benefits, including health insurance offerings, wellness programs, and retirement plans such as TRS, ORP, 403(b), and 457(b), to support employee inquiries and digital resource accuracy.
Under guidance help create, update, and maintain user-centered benefits content, ensuring that employees have clear, concise, and current information to navigate life events, benefits elections, and retirement planning independently.
Maintain version-controlled benefit documentation related to content updates and retirement workflows to support internal quality assurance and ensure audit readiness.
Assist with the continuous benefit process improvements by identifying content gaps, monitoring user feedback, and suggesting enhancements that drive employee engagement and satisfaction.

Preferred: Previous experience in a Human Resources department or supporting a leader responsible for a large staff. Benefits administration experience in a healthcare environment. Experience with state sponsored retirements program. Experience with UT systems.
