Diagnostic Imaging Services Coordinator / M-F 1030am-7pm

SUMMARY
Provide assistance to faculty, technical staff and peers both inside and outside of the division. Performs described functions in a dynamic, high-volume patient care environment requiring interaction with all members of a multi-disciplinary team and with other departments and Centers throughout MDACC.
Shift / Hours: Monday - Friday / 10:30am - 7pm
JOB SPECIFIC COMPETENCIES
Procedural Scheduling for Multiple Imaging Modalities
A. Accurately performs scheduling duties within deadline dates/timeline and within the standards established by the Division of Imaging.
B. Provides/relays clear and correct information regarding operations, schedules and the preparations needed for procedures. Advises staff and patients of available services.
C. Demonstrates knowledge of section protocols and scheduling capacity when applicable. Applies knowledge of work area to maximize section resources and increase efficiency.
D. Demonstrates knowledge of Age Specific Criteria in carrying out work duties and tasks.
E. Demonstrates ability to develop, maintain and modify templates for patient scheduling.
F. Coordinate with other team members to ensure expediency, and contact the appropriate persons for support when necessary.
G. Ensure schedules from grant funded sites are received in a timely manner in order to mitigate errors in patient scheduling.
H. Establish, maintain, and continuously update day-to-day operations. Assess the effectiveness of daily workflow, research issues of impact, implement, and facilitate change when necessary.
Patient Care Coordination and Communication
A. Assist patients with financial inquiries or direct them to the appropriate personnel or department.
B. Assists with unread exams when appropriate.
C. Manages information flow between referring physicians, staff and radiologists and performs follow up actions to resolve issues in a prompt and professional manner when appropriate.
D. Communicates pertinent issues to appropriate team member/s to ensure maximum service to patients and staff.
E. Utilizes hospital/departmental communication systems such as telephone, email and paging systems appropriately demonstrating manual dexterity.
F. Assures that all necessary patient documentation is complete and accurate.
G. Conveys information clearly, concisely, accurately and in a professional manner through both written and verbal channels during routine and emergency situations. H. Other duties as assigned.
A. Answers phone calls within the established team standards/guidelines utilizing our “Core Values” to maximize the efficiency of the DI Services Coordinator team.
B. Exhibits professional and courteous customer service at all times to internal and external staff members.
C. Provides direction, support, and training to staff, both, internal and external to DI to facilitate and implement patient care plan.
D. Responds to requests adequately and appropriately providing assistance to patients, visitors, and staff of all ages, races, cultural backgrounds, and beliefs and disease processes.
E. Demonstrates understanding of medical terminology and medical knowledge, as it relates to the operational unit, to identify concerns and achieve section and clinical objectives.
F. Establishes, maintains, and continually updates day-to-day operations. G. Demonstrates the ability to work effectively without supervision.
H. Demonstrates understanding of Institutional, Division and Section policies and
procedures.
I. Assists in maintaining a safe environment for patients, staff and visitors. Recognize unsafe conditions and report the situation to the appropriate personnel. Demonstrates awareness and concern for patient and staff safety. Assists in maintaining work environment in accordance with Joint Commission and institutional standards.
J. Communicates all changes, policies and procedures relative to the immediate area and section.
K. Demonstrates highly developed organizational skills, ability to multi-task and work in a fast paced environment.
L. Attends and actively participate in scheduled departmental meetings, completes mandatory department in-services and continuing education programs to satisfy all educational requirements.
M. Effectively utilize the RIS, Statusboards, and other pertinent computer software applications to ensure maximum efficiency for patients and staff.
N. Maintain and order office and/or medical supplies for the department.

Education Required: High school diploma or equivalent.

Experience Required: Four years of experience in health care or related customer service.
Preferred Experience: Experience in a patient care or healthcare administration setting.
