The primary purpose of the Coordinator, Research Data position is to provide administrative and clinical research support for the coordination of research studies. This role impacts the clinical trial patients in designated protocols and supports the efficiency and effectiveness of research conducted in the UGI (Gastric and Esophageal) Cancer Program in the Department of GI Medical Oncology.
Key Functions
Data / Protocol Management
Coordinates communication between research nursing staff and protocol patients by conducting phone calls, assisting with scheduling protocol-related tests and appointments.
Verifies schedules with patients for accuracy and timeliness.
May assist in research data collection and accurate database logging.
Maintains professional expertise and credibility through continuing education (e.g., conference and class attendance).
Participates in formal/informal instruction of professional nurses and healthcare staff regarding clinical research trials.
Attends sectional conferences, workshops, and institutional computer classes as required.
Data Collection
Coordinates and maintains systems for data collection for protocol and non-protocol studies.
Ensures files and records are organized and easily accessible.
Uses computerized systems for tracking.
Visually reviews and edits data for correctness with RN oversight.
Audit Preparation
Assists Research Nurses with audit readiness.
Reviews data for accuracy and makes necessary edits under RN supervision.
Reviews, classifies, files, and purges information as needed.
Maintains timely data submission schedules for funders and internal review committees.
Develops and organizes protocol binders for active protocols.
Monitor Visits
Coordinates monitor visits and startup meetings.
Prepares case report forms ahead of visits.
Performs accurate corrections to forms under RN supervision.
Transcribing Data
Accurately transcribes research data into case report forms with minimal error (≤5 errors/page).
Ensures accurate transcription of serious and non-serious adverse events, concomitant medications.
Obtains and verifies readability and completeness of outside medical records.
Reviews all outside lab results per protocol requirements.
Maintains systems for CLIA certifications and lab logs for protocols.
Training
Trains and guides support staff in study coordination.
Provides instruction on policies and procedures related to clinical trial audits.
Pathology & Tissue Collection
Obtains outside pathology slides or requests them internally following institutional guidelines.
Registers protocols on Tissue Station per policy.
Collects research blood and tissue per protocol.
Ships research tissue samples to sponsor or certified lab per protocol and biohazard handling procedures.
Research Charge Capture
Submits research charges to GIMO research finance within 24–48 hours of procedure/test.
Verifies research procedures are properly ordered and coded as standard of care or research-covered, as defined in the protocol coverage analysis.
Other duties as assigned
Education Required - High school diploma or equivalent.
Preferred degree: Bachelor's degree
Experience Required: Two years of related experience. With preferred degree, no experience required.
This position may be responsible for maintaining the security and integrity of critical infrastructure, as defined in Section 113.001(2) of the Texas Business and Commerce Code and therefore may require routine reviews and screening. The ability to satisfy and maintain all requirements necessary to ensure the continued security and integrity of such infrastructure is a condition of hire and continued employment.
