Associate Department Administrator - Nephrology
The University of Texas MD Anderson Cancer Center is seeking an Associate Department Administrator for the Nephrology Section. Nephrology is a super-section under the Department of Emergency Medicine and consists of 33 employees, including 14 faculty members, 9 Advanced Practice Providers, 3 fellows, and 4 administrative staff members. The Associate Department Administrator is responsible for institutional, administrative, financial, budgetary, clinical, academic, and research matters while ensuring operational excellence and compliance across the section.

The Associate Department Administrator plays a key role in advancing departmental goals, supporting faculty and staff, and ensuring the effective stewardship of resources. The Associate Department Administrator position is critical due to the section's continued growth and the need for dedicated administrative leadership.
The ideal candidate will possess demonstrated expertise in financial management, operational leadership, human resources administration, faculty support, strategic planning, grants administration, and compliance oversight within a healthcare, academic medicine, research, or higher education environment. Candidates with experience leading multidisciplinary teams, managing complex budgets, supporting faculty recruitment and promotion activities, and partnering closely with physician leadership will be well suited for this role. This individual will be a confident and emotionally intelligent partner to faculty and physician leadership, capable of managing complex budgets, leading high-performing teams, and driving initiatives that support departmental growth, innovation, and long-term success.
Working onsite 2-3 days per week.
Salary Range: $92,500 - $115,500 - $138,500

Responsibilities
Operations, Leadership & Compliance • Serve as the primary administrator and chief business/operations officer for the Nephrology Section. • Collaborate as the dyad partner with the Section Chief on all section and institutional initiatives and compliance activities. • Implement departmental policies, procedures, and systems to achieve operational effectiveness and regulatory compliance. • Establish appropriate lines of authority and responsibility within assigned services. • Oversee grants, contracts, and other agreements to ensure administrative compliance. • Provide oversight of space management, property maintenance, inventory control, and information systems. • Maintain physical and data security standards across section operations. • Support compliance with institutional, Joint Commission, and other regulatory requirements.
Financial Management & Resource Stewardship • Direct planning and forecasting of all financial and budgetary matters based on activity, revenue indicators, and departmental needs. • Administer budgets and oversee management of all related company centers and programmatic areas. • Maintain primary financial responsibility for E&G Gross Revenue, E&G Operating Expenses, Grants & Contracts
Revenue, and Grants & Contracts Expenses. • Monitor funds from state, federal, local granting agencies, donors, and private industry sources. • Approve and monitor fiscal transactions involving personnel, travel, capital equipment, maintenance and operations, grants and contracts, faculty start-up funds, PRS funds, professorship funds, and donor funds. • Evaluate expenditures to ensure effective and compliant use of resources. • Develop business plans for faculty positions, programs, and equipment acquisitions.
Human Resources & Staff Leadership • Direct recruitment, promotions, salary offers, merit actions, position management, performance evaluations, disciplinary actions, and terminations for faculty and classified employees. • Maintain ultimate hiring authority for all classified positions. • Supervise program managers, senior financial analysts, office managers, grant program managers, and administrative staff. • Develop and implement organizational structures that maximize staffing effectiveness. • Establish performance standards aligned with departmental goals and institutional values. • Coach, counsel, mentor, and develop staff members. • Coordinate quarterly meetings and seminars for classified staff. • Secure and maintain personnel records to safeguard sensitive information and ensure compliance.
Faculty Support, Strategic Planning & Quality • Develop long-term strategic business and operational plans in collaboration with department leadership and faculty. • Evaluate plans and initiatives to achieve long-term financial and operational objectives. • Coordinate marketing initiatives and collaborate with senior administrators and faculty leaders. • Design and implement systems and processes that improve efficiency, effectiveness, and service quality. • Develop and monitor internal controls that protect departmental and institutional integrity. • Support faculty recruitment by developing resource packages that include salary estimates, funding sources, space allocations, personnel support, and research resources. • Direct candidate recruitment processes and oversee implementation of faculty offer packages. • Oversee preparation of faculty appointment and promotion packages.
Faculty Relations & Division Support • Advise faculty regarding space, personnel, financial resources, operational issues, and research support needs. • Inform faculty of current policies and procedures and ensure compliance. • Maintain regular communication with faculty through ongoing individual meetings. • Support the Division of Internal Medicine office by providing requested information and documentation. • Develop short- and long-range goals and collaborative strategies for resource acquisition and allocation. • Support continued growth and operational success of a section consisting of 33 employees, 14 faculty, 9 Advanced Practice Providers, 3 fellows, and 4 administrative staff.

EDUCATION
- Required: Bachelor's Degree Business, Hospital/Health Care Administration, or related field.
- Preferred: Master's Degree Business, Hospital/Health Care Administration, or related field.
WORK EXPERIENCE
- Required: 4 years Health care related experience in a professional/administrative capacity, to include two years of experience in a supervisory capacity.
- Successful completion of the LEADing Self Accelerate and/or LEADing Self Discover programs may substitute for one year of required supervisory or management experience. Completion of both programs can be substituted for a maximum of two years of supervisory or management experience.
OTHER REQUIREMENTS: Must pass pre-employment skills test as required and administered by Human Resources.
