The University of Texas MD Anderson Cancer Center is a leading institution focused on cancer care, research, education, and prevention. Within the Environmental Health & Safety (EH&S) Department, the Administrative Assistant provides essential administrative and operational support that helps maintain efficient departmental operations, supports leadership priorities, and ensures effective service for employees, customers, contractors, and internal stakeholders.


The Administrative Assistant serves as a key resource for coordinating departmental processes, managing administrative functions, and supporting daily operations. The Administrative Assistant works across a variety of business areas including timekeeping, customer service, procurement, records management, and office coordination. This Administrative Assistant role contributes to the smooth operation of EH&S services throughout UT MD Anderson.


The ideal candidate for this Administrative Assistant role will possess a combination of administrative experience, customer service skills, organizational abilities, and proficiency supporting operational processes. Candidates with experience in timekeeping, payroll coordination, procurement, office administration, financial support activities, and customer-facing responsibilities are encouraged to apply. Salary Range: Minimum $ 41,000.00- Midpoint $51,000.00- Maximum $61,000.00

Key Responsibilities

  • Serve as the department's primary timekeeper, managing Kronos timekeeping, payroll coordination, attendance tracking, and related reporting.
  • Provide front desk and customer service support by answering calls, responding to inquiries, managing departmental email accounts, and directing customers to appropriate resources.
  • Coordinate office operations, including conference room scheduling, mail distribution, office supply management, copier maintenance, parking validations, tracking parking card usage, and fleet vehicle reservations.
  • Process contractor badges, maintain departmental records, and support general office administration.
  • Assist with financial and procurement activities, including purchase requisitions, invoices, purchase orders, check requests, reconciliations, budgeting support, and inventory management.
  • Support shipping and receiving activities, maintain vehicle logs, assist with compliance tracking, and contribute to special projects and departmental initiatives.
  • Provide backup support to other administrative staff as needed.

EDUCATION

  • Required: High School Diploma or Equivalent
  • Preferred: Bachelor's Degree, Certified Administrative Professional, 

WORK EXPERIENCE

  • Required: 4 years Administrative/secretarial experience, or
  • No experience required with preferred degree or CAP certification
